Having listened to the brief and suggested suitable structure, Amazing will provide preliminary pricing including an outline of the scope of works with inclusions and exclusions. This will normally be accompanied by photographic examples of similar installations as well as the specification of the proposed structure(s).

This may be all you need to make your decision, in which case a more formal quotation can be provided and/or Contract issued. However, should you desire, other materials can be supplied free-of-charge to help you:

• Presentation materials

To assist with any pitch you may be making that includes Amazing Tents, a member of Technical Sales will be happy to attend meetings as the main point of contact for structures.

In some cases, where there are questions or concerns regarding your chosen venue, or where several suitable sites need short-listing, Amazing Tent will carry out a site visit*.

The purpose of a site visit is to ascertain:

• General understanding of venue, its location and size
• Visual check of the area for obstructions
• Access points in and out of site
• Route mapping for vehicle movements
• Surface check for even, uneven and sloping ground plus suitability of staking
• Review of any services (service plans to be provided by venue)

Following a site visit, you may require further and more site-specific materials to be provided, in order to finalise your pitch or make your purchasing decision. At this stage, Amazing Tent will be happy to provide the following based on their site visit:

• Site specific layouts
• Google Earth renders
• Engineering data

*Please note that site visits do not replace surveys which may be essential in the instances of restricted access, special ground conditions or where underground services may cause an issue for standard installation methods. A site visit simply allows the company to ascertain best fit, size and layout of tents plus a general understanding of the surrounding area.

Visualisations come in a variety of formats – they can be provided as movie files or as static extracts. A view of the structures are generated in a graphic sketching programme but will be provided in a standard format for use on most computers. Alternatively, your favoured structure can be dropped into a map of the chosen venue and again provided in either static or moving formats. Depending on the level of complexity, there can sometimes be a charge for this service but please ask a member of the team for more information.

Please note, Amazing Tent operate a first-come-first-serve policy

• Confirmation of the project can be a verbal or written indication of your wish to proceed. At this point, the structure will be pencilled in to the schedule and where stock is limited, a member of the team will inform you of any additional enquiries that come in for the same period, thus giving you first refusal.
• The contract will be drawn up, based on the agreed project particulars and issued alongside an invoice for the agreed deposit payment.
• The contract will include all critical information relating to the rental, including full contact details, on site and off site dates, build and strike schedule, tent style, extra and accessories plus the rental price.
• Upon receipt of the signed contract and/or the deposit, you are contractually committed to Amazing Tents. Your tent and your event will be blocked in the schedule and the planning process will commence. Certain break clauses and cancellation policies apply to the contract – please contact a member of the team for more information.

A member of the team will liaise with you on a regular basis to discuss logistics and to provide all the necessary information required for your event.  Information provided will include:

• Method Statement
• Risk Assessment
• Policy Statement
• Tickets, licenses and qualifications
• Insurances

On the agreed day of installation (link here to installation page) the Amazing Tent crew will arrive on site. Each team is lead by a Crew Boss who will make themselves known to your nominated point of contact. Each crew carries with them a job pack containing instructions and all the relevant information for that job - if there are any delays in getting to site, a member of the crew will contact either yourself of your nominated point of contact

The Amazing crew will run through the agreed method of installation, review all Health & Safety procedures and carry out tool box talks. Crew carry their licenses at all times should you need to see them and Personal Protective Clothing is worn at all times and.

The highest working standard is expected of our crew at all times, with the work carried out efficiently and to schedule. When installation of the structure is complete, you will be asked to sign a Completion Certificate for the works carried out.

Should you require stand-by crew on site for your event, please discuss this with a member of the team. Amazing Tent provide experienced and qualified personnel for the entire rental period or for the live event period only.

On the agreed day of dismantle, the Amazing Tent crew will arrive back on site. The Crew Boss (often the same Crew Boss who lead the installation) will make themselves knows to your nominated point of contact.

The Amazing crew will run through the agreed method of dismantle, review all Health & Safety procedures and carry out tool box talks. Crew carry their licenses at all times should you need to see them and Personal Protective Clothing is worn at all times and.

The highest working standard is expected of our crew at all times, with the work carried out efficiently and to schedule. When the dismantle is complete and the vehicles loaded, the crew will leave site making sure all rubbish is removed and the site left clear and tidy and you will be invoiced for the balance of the contract total as agreed.
